Historic Mentor (“we,” “our,” “us”) is committed to protecting your privacy and personal data. This Privacy Policy explains how we collect, use, share, and safeguard your information when you use our website, platform, and AI-powered mentorship services.
By using Historic Mentor, you agree to the terms of this policy.
2. Information We Collect
We collect the following categories of data:
a. Personal Information
- Full name
- Email address
- Memberstack user ID
- Custom user fields (e.g., biography, session preferences)
b. Mentorship Session Data
- Audio recordings of your conversations
- Full transcripts and summaries
- Session timestamps and metadata
c. Technical and Usage Data
- IP address, device type, browser, operating system
- Pages visited, session duration, and clicks
- Analytics from cookies and tracking pixels (Google, Meta, etc.)
d. Form Submissions
Responses from embedded forms (e.g., Typeform) may include hidden data like your Memberstack ID to associate responses with your account.
3. How We Use Your Data
We process your data in order to:
- Deliver personalized AI mentorship sessions
- Improve mentor responses with historical context
- Log, summarize, and store your past sessions for review
- Send email recaps and updates
- Analyze engagement to improve user experience
- Monitor usage and run marketing or retargeting campaigns
- Fulfill legal, operational, and security obligations
4. Where Your Data Is Processed and Stored
We use the following categories of services to process and store user data:
a. AI & Voice Processing
- OpenAI – processes session content for mentor responses
- ElevenLabs – handles voice generation and audio playback
b. Automation & Workflow
- Zapier – routes data between services
- Webflow – hosts our web experience and some integrations
c. User Management & Authentication
- Memberstack – manages your account and login data
- Stripe – processes payments securely
d. Data Storage & CRM
- Notion – logs conversations and stores transcripts
- Google Drive / Docs / Sheets – stores call summaries and user info
- ActiveCampaign – manages email recaps and CRM activity
- Typeform – collects structured user input and session feedback
Each of these vendors may process or store your data only as needed to deliver your Historic Mentor experience. All vendors are required to implement their own data security practices and comply with applicable privacy laws.
5. Data Retention
Audio recordings are retained by ElevenLabs for up to 730 days before automatic deletion.
Transcripts, summaries, and session metadata are stored indefinitely in Notion, Google Drive, and ActiveCampaign unless you request deletion.
⚠️ Please note: deleting your data may limit mentor personalization and reduce your experience quality.
6. Data Sharing
We do not sell, rent, or share your data with outside companies or individuals except:
- With the third-party tools listed above (only as required)
- In response to a valid legal request (e.g., subpoena or law enforcement inquiry)
- To investigate, prevent, or address fraudulent or illegal activity
Only authorized systems and team members with a need-to-know role can access your information.
7. Your Privacy Rights
You have the right to:
- Request access to the data we have about you
- Correct or update your information
- Delete your account and all associated data
- Opt out of marketing or tracking communications

8. Security Measures
We use strong encryption, secure access controls, and data minimization principles to protect your information. However, no platform is 100% immune to breaches or misuse.
In the unlikely event of a breach involving one of our service providers, Historic Mentor is not responsible for damages caused by third-party access beyond our control.
By using our service, you accept this inherent risk.
9. International Users
Historic Mentor is available globally. By using our service from outside the United States, you acknowledge and consent to having your information processed and stored in jurisdictions where our vendors operate, including the U.S.
10. Children's Privacy
Historic Mentor is not intended for users under the age of 16. We do not knowingly collect data from children. If you believe a child has provided us information, please contact us immediately.
11. Changes to This Policy
We may update this Privacy Policy to reflect changes in laws, technology, or our practices. The latest version will always be posted here with the effective date at the top.
12. YouTube API Services
Historic Mentor uses YouTube API Services to publish our own original videos to our own YouTube channel. By using our services you also agree to be bound by the YouTube Terms of Service. Google's handling of any data it receives is governed by the Google Privacy Policy.
What we use it for. Our internal publishing tool uploads videos we produce ourselves to the Historic Mentor channel, sets their titles and descriptions, and organises them into our own playlists. That is the full extent of our use.
What we do not do. We do not collect, store, or process any YouTube data belonging to you or to any other viewer, channel, or creator. We do not read watch history, subscriptions, comments, or analytics about anyone. We do not display YouTube data in our product, and we never sell, share, or transfer YouTube data to third parties or use it for advertising.
What we store. A single authorisation credential for our own YouTube channel, held on our own servers and used solely to upload our own videos. No viewer data is associated with it.
Revoking access. Access granted to applications through a Google account can be revoked at any time via the Google security settings page.
Deletion. To request deletion of any data we hold, email support@historicmentor.com. We respond within 30 days, as described in section 7 above.
